WHY BIGGER AV BUDGETS ARE BETTER

When it comes to executing a successful event, no matter how big or small, budget is always going to be a factor. You have a lot of people to impress: employees, customers and, of course, the executives. After all, their name is going to be everywhere. The delicate line between budget and “wow-factor” is an important consideration.

$20,000 in-house isn’t going to be as impressive as outside AV.

Don’t sacrifice “wow-factor” for a few extra dollars. Nothing is more important than the image you are presenting to employees, to clients, and to the people who are going to view you as an asset and a reliable go-getter.

AV is a critical factor in executing a successful event. A bigger budget allows for more creativity to be harnessed in planning and designing your event. When that vision comes to life, your attendees and co-workers will have a great experience, garnering you as a trusted resource and increasing your reputation as a reliable team player.

Screen

There are so many variables to consider when selecting a screen; from budget and content, to footprint and “wow-factor.” Where do you start? The two most critical factors driving the screen-size decision are budget and ceiling height. Budget influences the type of screen and the brightness of the projector. Ceiling height determines the size of the screen (see post on selecting the right screen size here) that can fit in the room.

Audio

Sound plays an important role in your event. You want the presenters to be heard evenly throughout the room without loud spots. State-of-the-art sound systems and careful pre-planning ensure the even coverage that your event requires, regardless of the size of the venue or the number of attendees. Music to fill the room when the guests arrive, great punch for the opening video, and walk-up music between presenters are also important considerations to ensure a quality experience for everyone in the room.

Lighting

Being heard is key, but being seen is just as valuable. Lighting is the lifeblood of ambiance. In order for your keynote speaker to steal the show, you want the lights to be balanced while also being bright enough for them to be seen and look great on the recordings. Adding color to the room brightens up events, sometimes with just a modest adjustment to the budget. Larger scale events, however, can take full advantage of dramatic lighting changes and cues in concert with audio and videos.
